    Position Summary

    Working in the role as a junior member of a first class Guest Services team, you will take care of the Concierge operations and Reception of our top of the art Client Suite in our Stockholm office. Our Guest Services team acts as a one stop shop for all clients and visitors to the building. You will also assist the Office Operations and Business Development Managers in facility-related operations to coordinate all guest services and ensure the guest experience is of the highest possible quality. This is a full time, in person position.

    Duties and Accountabilities

    In coordination with the rest of the Guest Services Team in our Stockholm office, your primary responsibilities include but are not limited to:

  • Reception of Clients: physical, email and telephone calls, adhering to the agreed service levels
  • Hosting all visitors to the client suite, delighting the customer and ensuring a world class customer experience.
  • Welcome and escort all visitors to their work place/room.
  • Management of the cloakroom and the catering zone in our Client Suite
  • Management of our internal common areas (lunch room, bistro, kitchenettes)
  • Accurate and efficient administration of the global room booking function.
  • Preparation and maintenance of meeting rooms before, during and after client or internal meetings
  • Provide and remove equipment/supplies from client rooms, visitor rooms and internal meeting rooms as required.
  • Coordination with IT and Audio Visual Services in order to cover the needs of our guests and solve basic technological issues
  • Interaction with vendors: cleaners, catering, fresh fruits, flowers, etc.
  • Ensure that the housekeeping of the Client Suite Rooms, Internal Meeting Rooms and Guest Offices are maintained to a very high standard at all times.
  • Concierge activities (reservations of hotels, restaurants, taxis). Advice to our foreign guests on anything related to their visit to Stockholm
  • Ensure your product knowledge on building facilities, catering menus, local amenities, organizational structure and people is up to date and relevant so that all enquiries are dealt with in a professional manner and expedited quickly.
  • Security activities (doors, access cards management; alarms, etc.)
  • Administration duties as required
  • Covering all daytime shifts on a rotational basis (shifts start between 08:00-09:30am and end between 4:30-6:00pm)

    Location and Reporting
