    Reporting to the Senior Operations Director for Technology and Digitisation, the Smart Office & Communication Coordinators role is to oversee and manage the implementation, coordination, ongoing enhancement of tools and workplace experience applications within the organization.
    You will collaborate with cross-functional teams, including both CBRE and Client IT, HR, Facilities, and Internal Communications, to ensure effective communication and a seamless workplace experience for clients end users. You will work across EMEA and Sweden engaging with stakeholders in over 70 countries to complete successful projects.
    Key responsibilities are as follows:
    • Project Management:
    • Assist in delivery of Smart Office projects alongside key Client and CBRE stakeholders.
    • Monitor and document project progress, flag risks, and identify proactive solutions to ensure successful delivery.
    • Report progress to project stakeholders and leadership when needed.

    Stakeholder Engagement:
    • Collaborate with various departments and teams to understand the success criteria to complete projects on time and in line with expectations.
    • Support deployment of communications initiatives by coordinating with delivery teams across the EMEA and Sweden.
    • Build strong relationships with key EMEA and Sweden stakeholders and regularly communicate project updates, milestones, and outcomes. This includes representing updates on the Smart Office Editorials Board.
    • Solicit feedback and actively seek opportunities for improvement in communication and workplace experience.
    • Build strategic relationships with the Workplace Optimization Lead for the CBRE Account to understand the long term benefit of projects being delivered.

    Workplace App Implementation:
    • Work closely with IT teams and external vendors to assist in implementation of communication and workplace experience initiatives.
    • Coordinate testing, training, and change management activities to ensure smooth user adoption.
    • Troubleshoot technical issues, manage enhancements and updates, and coordinate with vendors for support.
    • Become an expert on the Workplace App, its usage and development Roadmap.
    • Identify successful engagement practices for workplace apps and suggest implementation of initiatives to drive usage.

    User Support and Training:
    • Provide end-user support for communication and workplace experience applications, addressing queries and troubleshooting issues.
    • Support the development of training materials and conduct training sessions to educate employees on app functionality, features, and best practices.
    • Continuously evaluate user feedback to suggest app improvement and usability to enhance the overall workplace experience.

    Person Specification:
    • Bachelor's degree in a relevant field (e.g., Communications, Business Administration, Information Technology).
    • A keen interest in in project management, preferably in the implementation of communication or technology. Importantly possessing a keen desire to develop this skill set.
    • Strong understanding of communication strategies, digital tools, and workplace technologies.
    • Excellent interpersonal and communication skills, with the ability to build relationships and engage stakeholders at all levels.
    • Detail-oriented with strong organizational and time management skills to manage multiple projects simultaneously.
    • Self motivated, inquisitive and delivery orientated.
    • Problem-solving mindset with the ability to identify and address issues proactively.
    • Proficient in project management tools and software.
    • Familiarity with employee engagement and workplace experience trends and best practices is desirable.
